1. Who we are
Goldsmith Alliance is a UK membership network for independent accountancy practices, and part of the Legal and Professional Services group.
Goldsmith Alliance is run under the CharterGroup name. Your personal information is controlled by CharterGroup Alliance Ltd (“we”, “us”), which runs Goldsmith Alliance’s marketing and membership services. CharterGroup Alliance Ltd is registered in England and Wales under company number 12303050, with its registered office at 2nd Floor, 4 Beaconsfield Road, St Albans, Hertfordshire, AL1 3RD.
We are the controller of the personal information described in this policy, and we are registered with the Information Commissioner’s Office (ICO) under registration number ZB375595.
If you have any questions about this policy or how we use your information, email us at admin@goldsmithalliance.co.uk or write to us at the address above.
This policy covers goldsmithalliance.co.uk, our membership ROI calculator, and the ways we contact and work with accountancy firms.
2. What information we collect
When you contact us. If you use our contact form or email us, we collect your name, email address, phone number, the subject of your message and anything you tell us in it.
When you use the ROI calculator. To show and email your results, we collect your practice name and email address, the services you tell us you use, your estimated client introductions and the results the calculator produces. We also record that you agreed to our privacy terms, and when.
When you book a call. If you book a call with us through Microsoft Bookings, we collect the details you enter there, such as your name, email address, practice name and the time you choose.
When we contact you about membership. We may collect business contact details for people at accountancy practices from public sources, such as LinkedIn, practice websites, Companies House and professional directories. This usually means your name, job title, practice name, business email address and business phone number.
When you become a member. We hold the information needed to run your membership, such as contact details for your practice’s key people, your membership and billing details, and records of the introductions you make to our partners.
When you visit our website. Like most websites, our hosting provider records technical information such as your IP address, browser type and the pages you visit, to keep the site running and secure.
We don’t ask for special category information (such as health details), and please don’t include it in messages to us.
3. How we use your information, and our lawful basis
Data protection law says we must have a lawful basis for each way we use your information. These are ours:
| What we use it for | Information used | Lawful basis |
|---|---|---|
| Replying to your enquiry | Contact form and email details | Legitimate interests: responding to people who contact us |
| Showing and emailing your ROI results, and following up on them | Calculator details | Legitimate interests: helping practices see whether membership suits them |
| Arranging and holding a call | Booking details | Legitimate interests, or steps before entering a contract |
| Contacting accountancy practices about membership | Business contact details from public sources | Legitimate interests: telling relevant practices about a service that may benefit them |
| Running your membership, including introductions to partners | Member details | Contract |
| Keeping records for accounting, tax and legal reasons | Billing and membership records | Legal obligation |
| Keeping our website working and secure | Technical information | Legitimate interests |
Where we rely on legitimate interests, we have weighed our interests against yours and only use your information in ways you would reasonably expect from a professional network. You can object at any time (see section 9).
4. Marketing
We may send information about Goldsmith Alliance membership, events and partner offers to people at accountancy practices, by email, LinkedIn or post.
- Limited companies and LLPs: we may email your business address without your prior consent, as the law allows for corporate businesses.
- Sole practitioners and non-limited partnerships: the law treats you like an individual, so we only email you about membership if you have agreed to it, or if you have enquired about membership with us and didn’t opt out.
Every marketing email tells you who it’s from and includes an easy way to unsubscribe. You can also opt out at any time by emailing admin@goldsmithalliance.co.uk. If you opt out, we keep your email address on a suppression list so we don’t contact you again by mistake.
We don’t sell your information, and we don’t share it with partners for their own marketing.
6. How long we keep it
We only keep your information for as long as we need it:
| Information | How long we keep it |
|---|---|
| Enquiries and ROI calculator results, if you don’t become a member | 2 years from our last contact with you |
| Business contact details for membership outreach | Until you opt out, or 2 years after our last contact if we hear nothing back |
| Member records | For the length of your membership and 2 years afterwards. Financial records are kept for as long as tax law requires. |
| Opt-out (suppression) list | Indefinitely, so we respect your choice |
7. Keeping it secure
We use appropriate technical and organisational measures to protect your information, including secure connections on our website, access controls and reputable service providers. Only people who need your information to do their job can see it.
9. Your rights
You have the right to:
- Access the information we hold about you and receive a copy
- Correct information that is wrong or incomplete
- Delete your information in some circumstances
- Restrict how we use it in some circumstances
- Object to us using it based on legitimate interests, and to direct marketing at any time
- Move information you gave us to another organisation, in some circumstances
To use any of these rights, email admin@goldsmithalliance.co.uk. We will respond within one month. We may need to confirm your identity first.
10. How to complain
If you’re unhappy with how we have used your information, please tell us first by emailing admin@goldsmithalliance.co.uk or writing to us at the address in section 1. We will acknowledge your complaint within 30 days, look into it, and tell you the outcome without undue delay.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
